Quick Answer
Use a static UPI QR if you are a small shop with modest daily sales and no billing software, because it is free to set up and works anywhere. Use a dynamic UPI QR, generated by your POS for each bill with the exact amount and invoice number, if you bill more than about 50 UPI payments a day, run multiple counters, or need automatic reconciliation. With the 0.4% MDR on UPI payments above ₹2,000 from 15 October 2026, dynamic QR also makes settlement matching far easier.
As of 3 October 2026. NPCI's circular of 15 September 2026 reportedly brings a 0.4% merchant discount rate on person-to-merchant UPI payments above ₹2,000 from 15 October 2026, which makes accurate UPI reconciliation a monthly accounting task for many shops for the first time.
This comparison is for shop owners, retail chains, restaurants and clinic managers in India deciding how customers should pay by UPI at the counter. After reading, you will be able to choose between a static QR, a dynamic QR and a soundbox setup, and know what your billing software needs to support each one.
What is the difference between a static and a dynamic UPI QR code
A static UPI QR is a fixed printed code where the customer types the amount, while a dynamic QR is generated for each bill and already contains the amount and a unique reference.
Both follow the same UPI payment format. A static code holds your UPI ID (the payee address) and business name. A dynamic code adds fields such as the amount, a transaction reference and a note, so the customer's app opens with everything filled in and the customer only enters their UPI PIN.
| Point | Static UPI QR | Dynamic UPI QR |
|---|---|---|
| How it is shown | Printed standee or sticker | On the POS screen, a customer-facing display or printed on the bill |
| Amount | Customer types it | Pre-filled from the invoice |
| Invoice link | None, matched manually | Unique reference ties payment to the invoice |
| Payment confirmation | Customer's screen, SMS or soundbox | Automatic status update to the POS |
| Wrong amount risk | Real, especially in a rush | Very low |
| Setup | Free from your bank or payment provider | Needs POS integration with an acquiring bank or payment aggregator |
| Best for | Kirana, tea stall, small single-counter shop | Multi-counter retail, restaurants, pharmacies, showrooms |
How does a dynamic QR reconcile payments automatically
A dynamic QR carries a unique transaction reference created by your POS, and when the payment succeeds the acquiring bank or aggregator sends that reference back, so the software marks the right invoice as paid without anyone checking a phone.
- The cashier finalises the bill for ₹4,350.
- The POS calls the payment provider's API and receives a QR containing ₹4,350 and reference INV-24-08812.
- The customer scans and pays with any UPI app.
- The provider sends a success callback with the same reference and the bank's transaction ID.
- The POS marks the invoice paid, prints the bill and records the UPI transaction ID against it.
At month end, the settlement file from your provider lists each payment with its reference, so matching thousands of entries becomes a software job. With a static QR, someone has to match amounts and times by hand, and two ₹500 payments at 7:42 PM become a guessing game.
Does UPI MDR apply differently to static and dynamic QR
The reported MDR rules depend on the merchant category and payment amount, not the QR type, so a ₹3,000 payment to an eligible merchant attracts the same 0.4% whether it came through a printed or a screen QR.
The reported structure is: payments up to ₹2,000 stay free, payments above ₹2,000 carry 0.4% capped at ₹300, and small merchants in the P2PM category stay exempt while their monthly UPI QR collections remain below ₹1 lakh. Some sectors such as fuel and railways reportedly pay a flat lower fee. See our explainer on UPI MDR charges for merchants and confirm the latest position on NPCI's official site.
What changes with QR type is how easily you can check the deduction. Dynamic QR records every payment against an invoice, so your software can calculate expected MDR on payments above ₹2,000 and flag any settlement that does not match.
Is a UPI soundbox better than a dynamic QR
A soundbox announces each received payment aloud and suits a busy single counter on a static QR, but it confirms only that money arrived, not which invoice it belongs to, so it does not solve reconciliation.
Soundboxes became popular because they stop the "payment done, see my screen" problem: the shopkeeper hears the amount instead of trusting a customer's phone. That is a real benefit, and for a small store it is often enough. Most soundbox plans carry a monthly rental, so compare that against the cost of a POS integration if you already use billing software.
For a store with three counters, a soundbox on each counter still leaves the accountant matching amounts at night. Dynamic QR solves the same fake-screenshot risk differently: the POS waits for the server confirmation before closing the bill.
What does your billing software need for dynamic UPI QR
Your POS needs an integration with an acquiring bank or payment aggregator API that can create a QR per invoice, receive success and failure callbacks, handle timeouts, and download settlement reports for reconciliation.
- QR generation per invoice with amount and unique reference.
- Customer-facing display or printed QR on the bill for counters where the screen faces the cashier.
- Status polling and callbacks so a slow network does not leave a bill in limbo.
- Timeout handling: if no confirmation arrives in, say, 90 seconds, the cashier can check status or switch to another method.
- Refunds linked to the original UPI transaction for returns.
- Settlement import that matches the provider's file to invoices and shows MDR deducted.
- Split reporting of UPI payments up to ₹2,000 and above ₹2,000.
Adding dynamic QR to an existing custom POS usually takes two to four weeks of development and testing, and we typically quote it from ₹40,000 to ₹1.2 lakh depending on the number of providers and the reconciliation reports needed. Our payment gateway integration page explains the process.
What JK Tech Hub has seen on UPI integrations in Gujarat
On retail and restaurant projects in Rajkot and Ahmedabad, moving from a printed QR to a POS-generated dynamic QR has cut month-end UPI matching from days of manual work to a short exception review.
A two-outlet pharmacy in Rajkot took most of its payments by static QR and reconciled them every evening by comparing the bank app with the day's bills. Mismatches from partial payments and customers paying twice took the owner an hour a night. After dynamic QR, the POS closed each bill only after confirmation, and the evening check shrank to a handful of failed or pending payments. A restaurant in Ahmedabad printed the dynamic QR on the bill itself, so waiters no longer carried the standee from table to table.
The one complaint we hear is speed: if the provider's callback is slow, the counter waits. Good integrations poll for status in parallel and let the cashier continue to the next customer while the payment settles.
How to decide which UPI QR your shop should use
Choose based on daily UPI volume, number of counters and whether you use billing software, because those three factors decide whether manual matching is a small chore or a real cost.
| Your situation | Recommended setup |
|---|---|
| Single counter, under 50 UPI payments a day, no POS | Static QR, optionally with a soundbox |
| Single counter with POS, average bill above ₹2,000 | Dynamic QR on the POS |
| Two or more counters or outlets | Dynamic QR with central settlement reports |
| Restaurant with table billing | Dynamic QR printed on the bill |
| Field sales or delivery collection | Dynamic QR or payment link from a mobile app |
Common mistakes when switching to dynamic QR
- No customer-facing display. If the screen faces the cashier, customers twist the monitor or the cashier turns it around for every bill. A small second display or a QR printed on a pre-bill slip solves this for a few thousand rupees.
- No timeout rule. Without a clear rule, cashiers close bills as paid when the customer says the money went through, and you are back to screenshot trust.
- Refunds outside the POS. If returns are refunded from the owner's phone, the books no longer match the settlement. Route every refund through the billing system.
- Ignoring failed payments. A daily list of pending and failed UPI attempts catches the customer who left believing the payment had worked.
Many shops run both: dynamic QR at the main counters and a static QR as a backup if the POS or network has a problem.
