Quick Answer
Get your POS ready at least two weeks before Dhanteras on 6 November 2026. Check that every item carries the right GST rate under the 5%, 18% and 40% structure, load festive offers and combo prices as rules rather than manual discounts, add a second billing counter or tablet, test UPI and card fallback, and set up separate reporting for UPI payments above ₹2,000, which attract 0.4% MDR from 15 October 2026. Back up daily and train temporary staff on returns and credit notes.
As of 3 October 2026. Two changes land in the middle of this festive season: a 0.4% merchant discount rate on UPI payments above ₹2,000 from 15 October 2026, and the first full Diwali where most shops will have finished cleaning up item masters after the GST rate restructuring of September 2025.
This checklist is for shop owners, retail chain managers and store accountants in India who will bill the bulk of their year's sales between Navratri and Bhai Dooj. After reading, you will be able to decide what to fix in your POS and billing setup this week, what to test before the rush, and what to watch on the busiest days.
When is the Diwali 2026 rush and how much time do you have
The 2026 festive window runs from Sharad Navratri on 11 October to Bhai Dooj on 10 November, with Dhanteras on 6 November and Lakshmi Puja on 8 November, so retailers have about three weeks before the first peak.
| Date (2026) | Occasion | What it means at the counter |
|---|---|---|
| 11 to 19 October | Sharad Navratri | Apparel, chaniya choli, jewellery and cosmetics peak, evening footfall in Gujarat |
| 15 October | UPI MDR starts | 0.4% fee on P2M UPI payments above ₹2,000 for eligible merchants |
| 20 October | Dussehra | Vehicles, electronics and appliance bookings |
| 6 November | Dhanteras | Gold, silver, utensils and appliances, the single heaviest billing day for many shops |
| 8 November | Diwali (Lakshmi Puja) | Sweets, gifts, last-minute purchases, early closing |
| 9 to 10 November | New Year and Bhai Dooj | Gifting and returns begin |
Do configuration work in the first half of October. Do not change software versions, price lists or tax settings in the week before Dhanteras unless something is broken.
How do you check GST rates in your item master before Diwali
Export your item master, sort it by GST rate and HSN code, and confirm no item still carries an old 12% or 28% rate after GST 2.0 took effect on 22 September 2025.
The September 2025 restructuring moved most goods to two main slabs of 5% and 18%, with a 40% rate for a short list of goods. Many shops updated their fast movers but left slow items, old stock and festive SKUs on the earlier rates. A wrong rate on a ₹40,000 appliance is a real tax problem; the same mistake on 300 gift hampers is a reconciliation headache in March.
- Filter items still showing 12% or 28% and confirm each with your CA.
- Check new festive SKUs (hampers, combos, gift boxes) have an HSN and rate before they reach the shelf.
- For mixed hampers, ask your CA how the combination is to be classified and set it up once, not item by item at the counter.
- Print one test invoice per rate and check the tax breakup.

What does the UPI MDR change mean for your billing counter
From 15 October 2026, an NPCI circular reportedly applies a 0.4% merchant discount rate, capped at ₹300, to person-to-merchant UPI payments above ₹2,000, while payments up to ₹2,000 stay free and customers pay nothing extra.
Reported exemptions include small merchants in the P2PM category whose monthly UPI QR collections stay below ₹1 lakh, and a flat lower fee for some sectors such as fuel and railways. Most organised shops billing lakhs during Diwali will be inside the new framework. A ₹10,000 sale paid by UPI would carry about ₹40 in MDR.
Your POS should now report UPI collections in two buckets, up to ₹2,000 and above ₹2,000, so you can match the MDR deducted in settlement against your own numbers. We cover the details in UPI MDR charges for merchants, and the choice between QR types in static vs dynamic UPI QR codes. Check NPCI's official site for the current circular.
How should you set up festive offers in the POS
Set up every festive offer as a rule in the POS with a start date, end date and eligible items, because manual discounts typed at a crowded counter cause margin leaks, wrong GST values and disputes at return time.
- Flat and percentage discounts with automatic start and end dates, so Navratri offers stop on 19 October without anyone remembering.
- Combo and bundle prices configured as a single offer, so the invoice shows the discount against the right lines.
- Buy X get Y rules, with your CA's guidance on how the free item appears on the invoice.
- Gift vouchers with unique codes, balance tracking and an expiry date.
- Staff discount limits so a cashier cannot give more than, say, 5% without a manager PIN.
Print a test bill for every offer before it goes live. If the discount shows after tax instead of before, fix it now.
Can your POS handle three times the normal billing volume
Most shops bill two to four times their normal daily volume on Dhanteras, so test your POS by billing 100 dummy invoices in an hour on each counter and checking printer, scanner, network and payment terminal speed.
Hardware and counters
- Add a second counter or a tablet billing station for the peak days.
- Keep a spare thermal printer and two rolls per counter per hour of peak billing.
- Test barcode scanners on festive packaging, which is often glossy and harder to scan.
Network and payments
- Keep a mobile hotspot as a backup internet line.
- Confirm the POS can bill offline and sync later if the internet drops.
- Keep a second payment method ready: card machine if UPI is slow, UPI if the card network is down.

What JK Tech Hub has seen in festive billing in Rajkot
Across retail billing systems we support in Rajkot and Saurashtra, the most common Diwali failures are not software crashes but wrong rates on new festive items, cashiers giving unapproved discounts, and nobody reconciling UPI settlements until December.
A kitchenware and utensils store near Dharmendra Road bills more on Dhanteras than in a normal fortnight. In one season, gift sets created in a hurry were billed at the wrong rate for four days before the accountant noticed. Since then the store freezes its item master on 25 October and creates any later SKU through one person only. A garment shop with two outlets found that its Navratri discount stayed active for a week after the festival because the offer had no end date, which cost it a visible slice of margin.
The fix in both cases was process plus small software changes: date-bound offers, a manager PIN for discounts above a limit, and an end-of-day report that compares UPI collections in the POS against the bank settlement.
What this means for your business
Treat the next two weeks as configuration time and the two weeks before Dhanteras as testing time, because changes made during the rush are where most festive billing errors and tax mismatches start.
If your current billing system cannot split UPI reporting, run date-bound offers or bill offline, Diwali will expose that. A focused upgrade now costs less than a season of manual corrections. For new installations, plan for after Bhai Dooj unless the gap is critical.
